Everything you need to know about SpeedReview, from AI categorization and security to integrations and onboarding.

General

SpeedReview is an AI-assisted review layer for accounting teams working in QuickBooks. It brings transaction review, anomaly detection, variance analysis, and month-end close coordination into one workspace while keeping the accountant in control of every decision.

Accounting firms managing multiple clients, bookkeepers, fractional CFOs, and small-to-medium enterprises (SMEs) managing their own books. If your team reviews transactions, reconciles accounts, or runs a monthly close process, SpeedReview is designed for you.

SpeedReview works alongside QuickBooks rather than replacing it. QuickBooks remains the system of record; SpeedReview organizes suggestions, anomalies, approvals, variance analysis, and close tasks around the review process.

Yes. SpeedReview is built for multi-client workflows. You can manage all your clients from one interface with priority-based task management and per-client status tracking.

AI & Features

SpeedReview analyzes each transaction using multiple signals that include vendor history, memo keywords, amount patterns, historical categorizations, and semantic understanding of the transaction description. These signals are weighted and combined into a confidence score, so you always know how certain the system is about each suggestion.

SpeedReview is working toward a 90% categorization accuracy target. Every suggestion remains reviewable and requires human approval before writeback.

Yes. Approvals and corrections can inform future suggestions for that customer. Teams can also create learned rules for recurring, client-specific situations. This learning stays tenant-scoped and does not train a shared model for other customers.

A confidence score helps reviewers prioritize where to look first. It is built from visible signals such as vendor history, prior decisions, and transaction context. Confidence supports the review decision; it does not replace it.

Yes. Teams can define rules using details such as vendor, amount range, or description. Matches are surfaced consistently in the review workflow and remain visible to the reviewer.

SpeedReview currently detects four types: • Duplicate payments: Flags identical or near-identical vendor payments within a 7-day window • Spend spikes: Alerts when category spending exceeds 2x the 3-month baseline • Large miscellaneous items: Flags large dollar amounts sitting in uncategorized accounts • New vendor high spend: Alerts on first-time vendors with payments over $2,000

Anomaly checks run automatically each time data syncs. Matching items are added to the review queue with the rule that triggered the flag.

Variance analysis explains how balances and activity changed across periods. SpeedReview can draft review commentary for month-over-month, quarter-over-quarter, year-over-year, previous-quarter, and previous-year comparisons. The result is presented for review before it is used in reporting.

SpeedReview gives each client a shared close checklist with owners, status, and review context. Categorization questions and anomalies can be resolved from the same workflow, reducing the need to coordinate the close across separate spreadsheets and follow-up threads.

Integrations & Data

QuickBooks Online is the accounting integration available today. QuickBooks Desktop, Xero, and FreshBooks are planned for future releases.

Eligible plans can connect supported financial institutions through Plaid for bank-feed import and matching.

Direct Stripe, Square, PayPal, and Shopify connections are planned rather than generally available today. Relevant transactions can still flow into the review process through QuickBooks or an enabled bank feed.

Google Drive and Dropbox connections are planned to make document collection and matching easier. They are not required for the core QuickBooks review workflow, and availability will be confirmed as those integrations are released.

Yes. Supported documents can be uploaded for extraction and matching. Extracted fields and suggested matches are presented for review rather than applied without confirmation.

API access can be included in an Enterprise rollout when a defined integration use case requires it. There is not a self-serve public developer platform today.

Yes. Authorized reviewers can apply approved categorization changes back to QuickBooks. SpeedReview checks for conflicting changes and records the result of each writeback for review.

A failed or conflicting item is held for review rather than silently overwriting newer QuickBooks data. Reviewers can see the item status and decide the next action.

A new sync brings current QuickBooks activity into the review workspace. If an item changed after it was loaded into SpeedReview, the writeback is stopped and the conflict is shown for review rather than overwriting the newer QuickBooks version.

The workspace shows connection status and sync activity so reviewers can confirm when QuickBooks data was last refreshed. We recommend syncing before a review session and using the firm's existing reconciliation controls to confirm completeness.

Each writeback item receives a clear result such as applied, failed, or conflict. Conflicting items are not applied, and review activity is recorded so the team can follow up.

SpeedReview includes safeguards against applying the same reviewed batch twice. Reviewers can also confirm each item's writeback status before taking further action.

SpeedReview checks for conflicting changes before applying a reviewed update. If another user or QuickBooks has changed the item, the writeback is stopped and the conflict is shown for review.

The connection shows an error state while preserving the last successful sync time. The team can address the connection issue and run the sync again before continuing review.

Syncs can be triggered on-demand from the dashboard, or scheduled to run automatically. We recommend syncing before beginning any review session and before month-end close to ensure you're working with the latest data.

Security & Compliance

Customer data is encrypted in transit and at rest. Sensitive connection credentials receive additional encryption and access controls. More detail is available through our security questionnaire.

No. SpeedReview uses OAuth for QuickBooks authentication. We never see or store your QuickBooks username or password. We only hold encrypted OAuth tokens, and you can revoke access at any time from your QuickBooks account.

SpeedReview uses managed identity controls and verified sessions. Enterprise identity requirements are reviewed during security and implementation scoping.

Customer data is logically isolated by tenant, and access checks scope users and requests to the appropriate firm. Additional detail is available in our security questionnaire.

Yes. Material review actions, approvals, conflicts, and writeback results are recorded with user and timestamp context so teams can trace how a decision was made.

SpeedReview supports human approval, traceable review history, role-based access, and conflict checks around writeback. Each firm remains responsible for configuring its workflow and determining the controls required for its engagements.

Uploads are validated before processing, access is scoped to authorized users, and stored files are protected with encryption and access controls. Detailed controls are available in our security questionnaire.

Export, retention, and deletion terms are documented in the customer agreement. Customers can request an export or deletion through contact@speedreview.ai, subject to applicable legal retention requirements.

Yes. SpeedReview includes role-based permissions so you can control who can view, edit, approve, or apply changes. This supports proper segregation of duties for your firm.

We support privacy rights, data-processing terms, and deletion or export requests. Applicability and any jurisdiction-specific requirements are assessed during contracting rather than represented by a blanket compliance claim. See the Privacy Policy for Canadian, EEA/UK, and California disclosures.

SpeedReview uses AWS cloud infrastructure. The services and regions used for a customer can be documented during security and implementation review.

A Data Processing Agreement is available when required. Email contact@speedreview.ai to request the current version.

Retention is based on the services in use, the customer agreement, and applicable legal requirements. Customer-specific export or deletion requirements can be documented during contracting.

Yes. Role-based access controls allow you to separate who can view transactions, who can approve categorizations, and who can apply writebacks. This is critical for firms that need to demonstrate proper internal controls during audits.

SpeedReview records review decisions and writeback activity with user and timestamp context. Available exports and supporting documentation can be scoped to the firm's audit or diligence requirements.

We assess providers based on the data they receive and the role they play. QuickBooks and Plaid connections use delegated authorization rather than storing your bank or QuickBooks password. Our current subprocessor list is published on the Security page.

Yes. The workflow emphasizes reviewer visibility, approval boundaries, traceable decisions, and controlled writeback. Firms should evaluate SpeedReview within their own professional, regulatory, and engagement requirements.

Every suggestion includes a transparent confidence score built from weighted, auditable signals; not a black box. You can see exactly why the AI made a recommendation (vendor match, historical pattern, keyword match, etc.). The system is designed so that you always review and approve before any changes are applied. Nothing is auto-applied without your consent.

You are always the final decision-maker. Every suggestion requires explicit approval before it's applied. When you correct a mistake, the system learns from that correction and adjusts future suggestions. Over time, the accuracy improves specifically for your clients and workflows.

Customer accounting data is not used to train shared models or models for other customers. Corrections, learned rules, and tenant-specific configuration remain scoped to that customer.
